Data Processing Agreement
Effective October 19, 2026
The short version: when you run shows with Unpanels, the information your audience gives is yours. We process it only to run Unpanels for you, keep it safe, and delete it when you ask.
Who this is for
This agreement is between VODPOD MEDIA LLC, a Texas company ("we", "us"), and the business that uses Unpanels to run shows ("you"). It is part of our Terms of Service and applies automatically when you accept them. If you need a signed copy for your records, email gylon@vodpodmedia.com and we'll countersign one.
Roles
- For the personal data in your shows, you are the controller and we are your processor (or "service provider" under US state laws like the CCPA).
- For your own account and billing details, we are a controller, as our Privacy Notice describes.
What we process
- People: your audience, your panelists and presenters, and your team.
- Data: anonymous phone IDs, votes, answers and questions; names, companies and emails people choose to give; panelist names and photos; documents you upload; and, if you turn on the recorder, audio of the room turned into a transcript and show notes.
- Purpose: running your shows, writing the content and notes you ask for, and building your report. Nothing else.
- How long: until you delete the show or your account.
What we promise
- We process your data only on your instructions: these terms and how you use Unpanels. We never sell it, and never use it to advertise or to train Ai models.
- Everyone who works on Unpanels keeps it confidential.
- We protect it with encryption in transit, access controls, and trusted hosting providers.
- We tell you without undue delay, and within 72 hours of confirming it, if a breach affects your data, and help you meet your own duties.
- We help you answer people who ask to see, correct or delete their information. You can export or delete your data yourself from your account at any time.
- When you delete a show or your account, we delete its data from our systems, except what the law makes us keep. Backups roll off within 30 days.
- We'll answer reasonable questions about how we protect your data, and share the information you need to show you comply.
What you promise
- You have a lawful basis to collect what your shows collect, and you give your audience the notices the law needs where your event takes place.
- If you record the room, you tell the audience and get any consent the law requires. Unpanels shows a recording notice on the screen and on every phone while it runs.
Subprocessors
We use these companies to run Unpanels. Each is bound to protect your data at least as well as this agreement does.
- Vercel: hosting (United States).
- Neon: database (United States).
- Clerk: sign-in for your team (United States).
- Stripe: payments; sees billing details only (United States).
- Postmark: email delivery, such as show notes (United States).
- OpenRouter and the Ai model providers it routes to: writing questions and show notes, and transcribing the recorder's audio, only when you use those features. We use providers that don't train on the data.
We'll update this list before adding a new subprocessor. If you have a reasonable objection, tell us and we'll work with you; if we can't solve it, you can cancel.
International transfers
Unpanels runs in the United States. When we transfer personal data from the EU, UK or Switzerland, the Standard Contractual Clauses (and the UK Addendum) apply between us, with you as exporter and us as importer, and are part of this agreement.
Everything else
The limits on liability in our Terms of Service apply to this agreement. If this agreement and the Terms disagree about personal data, this agreement wins. Questions: gylon@vodpodmedia.com.
